Private access and shared agreements

Whitelist requests include artist links, ownership screenshots, country, referral details, and a short reason for joining. Authorized administrators review these records to decide access. For shared releases, each invited artist supplies their own information. Legal names, contact details, contribution information, and any required guardian details are included in the agreement shared with its signing parties. Optional identity numbers and identity uploads remain private to the submitting artist and authorized administrators.

Signing records link consent to the specific agreement and document hash. We retain the signer’s name, account or email invitation, server timestamp, IP address, browser details, adopted signature, and an audit trail. Signature and audit records cannot be edited through the portal. Declining an access request terminates portal access; records needed for agreements, review history, accounting, and legal obligations may be retained under this policy.

1. Information we collect

We collect information you provide, including your email, username, password hash, legal name, country, artist profile links, plan and billing status, payout destination references, release metadata, audio, artwork, credits, rights declarations, label pitches, agreements, signatures, and messages sent through Support. We also maintain royalty, payout, release-review, and account-history records.

Label signing forms also collect date of birth, mailing address, identity document numbers and uploads, and parent or guardian details when required. These private records are used to identify contracting parties, review rights, and prepare agreements; identity documents are not placed in public profiles or automatically included in the agreement. Submitted agreements retain the adopted signature, consent text, signer role, email, signing time, request IP address, browser information, and document hashes to document the electronic signing process. Signing invitations and completed-agreement notices are sent through our transactional email provider. Contact support@4takeover.com for access, corrections, an alternative signing method, or deletion requests, subject to records we must retain for agreements and legal obligations.

We automatically receive limited technical information needed to run and protect the portal, such as session identifiers, request timing, browser or device information made available with a request, IP-based security signals, and logs concerning sign-in, uploads, billing, and administrative actions.

2. How we use information

We use information to create and secure accounts; provide customer support; review, deliver, manage, promote, or remove releases; honor store selections; administer private access and agreements; calculate and pay royalties; investigate rights claims, fraud, artificial streaming, and abuse; maintain business records; and comply with legal, tax, payment-provider, distributor, and digital-service requirements.

3. Distribution and public release information

Information required for a release may be sent to our distribution partner and the digital services you select. Artist names, artwork, release titles, credits, dates, identifiers, and other release metadata may become public on those services. A store may keep its own records under its privacy policy even after a takedown request.

4. Billing and payouts

Stripe and other connected payment providers process legacy billing or payout information under their own terms and privacy notices. 4TAKEOVER may receive customer, subscription, connected-account, transaction, destination, and status identifiers. Raw card or bank account details entered in a provider-hosted form are handled by that provider rather than stored in the 4TAKEOVER portal.

5. When information is shared

We may share only relevant information with distribution partners, selected digital services, payment and payout providers, cloud hosting and storage vendors, email or support vendors, professional advisers, tax or rights organizations, and parties involved in a business transfer. We may also disclose information when reasonably necessary to follow law, protect users or the service, investigate misuse, or establish and defend legal rights. We do not sell account holders' personal information for money.

6. Sessions and similar technology

The portal uses essential session cookies to keep you signed in, remember account state, and protect restricted pages. Blocking these cookies may prevent account features from working. If optional analytics or advertising technology is introduced later, this policy and any required controls will be updated before that use begins.

7. Retention

We keep information for as long as reasonably needed to operate the account and distribution service. Drafts and routine support records may be removed sooner. Accepted agreements, release delivery records, posted royalty ledgers, billing and payout records, security logs, rights disputes, and compliance records may be retained longer when needed for accounting, contract enforcement, fraud prevention, or legal obligations. Backup copies may take additional time to expire.

8. Security

We use reasonable administrative and technical safeguards, including access controls, secure session cookies, one-way password hashing, private release-file storage, restricted administrator tools, and provider-hosted payment collection. No internet service can promise absolute security. Contact Support promptly if you believe an account or release has been accessed without permission.

9. Your choices and requests

You can update available profile information in Account, manage billing through the connected billing portal, change payout details in Royalties, and use Support to request access, correction, export, or deletion of eligible personal information. Depending on where you live, local law may provide additional rights. We may need to verify identity before acting and may retain information that must remain for contracts, payments, rights claims, security, or legal compliance.

10. Young artists

The portal is not directed to children under 13, and they should not create an account directly. Artists who cannot legally consent on their own must involve a parent or legal guardian for required account consent, payout onboarding, and agreements. Guardian information is collected only when a contract, provider process, or law requires it.

11. International processing

4TAKEOVER, its providers, distribution partners, and digital services may process information in countries other than the one where you live. Privacy protections and lawful disclosure rules may differ by location.

12. Policy changes

We may update this policy as the distributor, payment connections, or legal requirements change. The effective date and version above will identify the current policy. Material changes will be communicated in the portal or through available account contact information when appropriate.
